Tips for Communicating with Your Elected Officials
(from Concerned Women for America)
Tips for Phone Calls
To find your senators' and representative's phone numbers, you may use our searchable online congressional directory (http://capwiz.com/cwfa/directory/congdir.tt) or call the U.S. Capitol Switchboard at (202)224-3121 and ask for your senators' and/or representative's office.
Remember that telephone calls are usually taken by a staff member, not the member of Congress. Ask to speak with the aide who handles the issue about which you wish to comment.
After identifying yourself, tell the aide you would like to leave a brief message, such as: "Please tell Senator/Representative (Name) that I support/oppose (S.___/H.R.___)."
You will also want to state reasons for your support or opposition to the bill. Ask for your senators' or representative's position on the bill. You may also request a written response to your telephone call.
Tips for Writing Congress
The letter is the most popular choice of communication with a congressional office. If you decide to write a letter, this list of helpful suggestions will improve the effectiveness of the letter:
1. Your purpose for writing should be stated in the first paragraph of the letter. If your letter pertains to a specific piece of legislation, identify it accordingly, e.g., House bill: H. R. ____, Senate bill: S.____.
2. Be courteous, to the point, and include key information, using examples to support your position.
3. Address only one issue in each letter; and, if possible, keep the letter to one page.
Addressing Correspondence:
To a Senator: The Honorable (full name) | To a Representative: The Honorable (full name) |
Dear Senator: | Dear Representative: |
Note: When writing to the Chair of a Committee or the Speaker of the House, it is proper to address them as:
Dear Mr. Chairman or Madam Chairwoman:
Dear Madam Speaker or Mr. Speaker:
Tips for Emailing Congress
Generally, the same guidelines apply as with writing letters to Congress.

More Tips For Contacting Congress
Here are a few tips when sending emails, letters, or calling your elected officials. Tip: It is important to use the correct “buzzwords” or else you will not know if your request to them has been trashed, or put at the bottom of the heap.
Whether you phone or email one of your elected officials there are some keywords that you should use in order for you to be taken seriously by the people receiving your message.
- Have the bill name and number available before calling, include them on correspondence.
- Ask to be directed to the ‘Staffer’ who is handling this bill. Ask for the name of the ‘Staffer’ who is handling the bill.
- Ask that the elected official please ‘co-sponsor’ the bill.
- DO NOT include more than two bills, or two issues, in your correspondence.
- DO NOT assume they know more than you do.
- Personalize the message.
- Acknowledge their current position, if known.
- ASK for Support, e.g.: ‘We want your support as a co-sponsor…’
- Tell them you want a response back.
- Always, Always be polite and thank them for their time.
- Follow up in 2-3 weeks.
- Yes, honey attracts a more favorable response than vinegar.
Remember, they need to hear from their constituents before they are going to care about hearing from Lisa, our Lobbyist on Capitol Hill. As Lisa works from the “top down” we at the grassroots level need to work from the “bottom up”.
If we each do a little we can ACCOMPLISH A LOT!
